How we handle information you send us
This notice explains what System Fieldbase collects through the website and during a commission, how long we keep it, and your rights under UK GDPR.
## Data controller

## What we collect
From the enquiry form: name, email, organisation, preferred scoping date, commission of interest, and the message you write. From a commission: the business contacts named in the instruction, and any personal data remaining in extracts you choose to send. We ask for anonymised extracts where the study allows it.
We do not ask for special category data on the website. If a leaver file includes health-related absence codes, you should strip or recode them before sending unless we have agreed a separate protocol.
## Why we use it
We use enquiry data to reply and to arrange a scoping call (legitimate interests and, where you submit the form, steps toward a contract). We use commission files to produce the pack you instructed (contract). We keep a minimal accounts record for tax (legal obligation).
## Retention
Unsuccessful enquiries are deleted after 18 months unless you ask us to keep a note for a later board cycle. Signed instructions, invoices and the delivered pack are kept for seven years. Person-level extracts are deleted within 30 days of the later of pack delivery or the end of the refund window, except anonymised working tables needed to answer a factual query.
## Your rights
You may request access, correction, erasure, restriction, objection, or portability where UK GDPR gives those rights. You may complain to the Information Commissioner’s Office. We will not ignore an access request because a pack is mid-draft; we may need extra days if the file is large.
## International transfers
We store mail and files with providers who offer UK or EEA processing, or who provide an appropriate transfer mechanism. We do not send person-level extracts to a practitioner outside the United Kingdom without your written agreement.
## Site analytics
If you accept optional cookies, we may see which journal pages are read. See the [cookie notice](/cookies/). Rejecting those cookies does not affect your ability to enquire.
## Children
The site and our commissions are for employers and their staff contacts. We do not knowingly collect data from children.
