When fees come back, and when work already started is kept

## Eligibility Refunds apply to fees paid to System Fieldbase for a named commission. They do not apply to time you spent internally preparing extracts. ## Timeframe Written cancellation must reach hello@system-fieldbase.click. We confirm in two working days. The clock for the percentages below starts on the date of our confirmation. ## Deposit The one-third deposit is refundable in full if you cancel before we have opened your extract (usually within five working days of instruction, unless we have already booked travel for a pairing session). After we have opened the extract, the deposit is kept as payment for the file glance and diary hold. ## Full or partial refund of later instalments - **Before draft pack:** the second instalment, if paid early, is refunded minus days already worked at the day rate. - **After draft pack issued:** no refund of fees for days already worked. Unused prepaid days are refunded. - **After briefing day:** no refund of the commission fee. A factual error we introduced is corrected at our cost; that is not a refund. ## Non-refundable items Bound extra copies already printed; agreed overnight stays already incurred; a briefing-day travel day once tickets or a hire car are booked with your written go-ahead. ## Work already started File grouping, chart drafting and working sessions are “started work.” You pay for those days even if you later decide not to hold the briefing. ## Cancellation and rescheduling You may move a briefing day once without fee if you give ten working days’ notice. A second move, or notice inside ten working days, is billed as a half day plus any irrecoverable travel. We may move a date if a practitioner is ill; we will not charge you for that move. ## No-shows If the named attendees do not attend a booked briefing day and have not cancelled, the briefing-day rate is payable. We will still issue the pack as it stood that morning. ## Quarterly headcount watch Cancel with twenty working days’ notice before the next quarter’s file date. That quarter is not billed. There is no refund of a quarter already delivered. Unused quarters in a prepaid year are refunded minus any days already worked on the next cycle. ## Materials You keep drafts already issued. We delete person-level extracts as described in the [privacy notice](/privacy/). We do not refund because you dislike a finding. ## How a refund is paid Refunds go back to the same account or card that paid, within fourteen working days of agreement.
